Who we are?
The Derby Jobs Employment and Skills Hub is part of Derby City Council and the Hub is funded by various UK Government and public sector programmes.

The work of the Derby Jobs Employment and Skills Hub collects information about you in delivering its services and this information may be shared where necessary. We are the Data Controller for processing this information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This privacy notice explains how we use and protect your information when you access these services.
How do we collect information from you?
We collect information from you when you:
- Fill in any forms linked to the delivery of our funded programmes.
- Update information on any systems utilised as part of our programme delivery
- Attend any training that may be delivered by our team, or other internal or external training providers such as Derby Adult Learning Service.
- Speak to us on the phone or talk to us face to face at events.
- Contact us in writing or by emailing us at employmentandskills@derby.gov.uk.
- Register to receive our Derby Jobs Weekly newsletter
- Referred to us by one of our public sector partners or other organisations including other public services and training providers, Voluntary & Community Groups or health services.
What type of information do we collect from you?
We collect different categories of information about you, depending on the service you want from us.
Personal information
This could be personal information such as your name, contact details, date of birth educational background, national insurance number. Any other personal details provided at the time information is collected about you.
Special Category data
This may include details about your health such as medical records, ethnicity or religious belief.
Criminal Data
Criminal convictions and restrictions (e.g. probation conditions) where they relate to the services being provided.
Employer Data
We collect data on employers involved in the delivery of our programmes and services.
Which third party organisations do we obtain information from?
We will collect data from the following sources when they make a referral into our service:
- Other Local Authorities
- Partners providing Connect to Work programmes
- Other UK government and statutory organisations including Department of Work and Pensions and Health Support organisations.
Local Community and Voluntary Sector. This will include organisations that provide support to the community including places of worship. - Other Council Directorates including Welfare Reform, Children & Young People, Social Services, Derby Adult Learning Services. (This is not an exhaustive list).
- Training and Employment Support providers including, National Careers Services, Derby Adult Learning Service, other employment support delivery providers.
- Educational Institutions including local colleges and schools.
- Other funded programmes which connect to our services
- DCC Economic Growth, Marketing Derby and other employer membership organisations and forums, when they refer employers for our support.
How is your information used?
Depending on your requirements, we will use the information you have provided to:
- Register your enrolment on Derby Jobs Employment and Skills Hub activities.
- Assess your eligibility for Derby Jobs Employment and Skills Hub services.
- Provide you with information on programmes, schemes, courses and other Council services that we consider will be of benefit to you including social services and welfare reforms.
- Refer you to:
- employers for employment opportunities including apprenticeship, work experience, work placement, provide inclusive recruitment opportunities including making reasonable adjustments; and
- training providers for skills development, employability supporting organisations and programmes such as the National Careers Services, Individually Personalised Support, Derby Adult Learning Services.
- Monitor your participation and progress on activities linked to the programme you are enrolled on.
- Report on service delivery to our funders as part of our contractual commitments in receiving public sector funding.
What is the lawful basis for sharing your information?
Public Task (UK GDPR Article 6(1)(e))
The Council is a public authority with responsibilities for delivering employment support services funded by government, under statutory powers relating to economic development and employment. Processing your personal information is necessary to carry out functions in the public interest, including public service delivery and protecting the integrity of employment and training programmes or in the exercise of official authority.
Legal Obligation (UK GDPR Article 6(1)(c))
Where processing is necessary to meet legal obligations, such as verifying your right to work, complying with funding conditions, reporting to government agencies, to meet audit and accountability requirements, preventing fraud and misuse of public funds.
On the basis of UK law (UK GDPR Article 9 and DPA 2018 Schedule 1)
This applies in relation to the provision of employment support to vulnerable individuals, safeguarding, and promoting equality of opportunity and includes the following:
- Employment, social security and social protection law (Article 9(2)(b))
- Safeguarding rights in relation to equality of opportunity or treatment, health, working capacity and social care services for individuals, (Article 9(2)(g) and Article 9 (2) (h))
- DPA 2018 Schedule 1:
- Part 1, “Conditions relating to employment, heath and research etc”.
- Part 2, “Substantial public interest conditions”.
- Part 3, “Additional conditions relating to criminal convictions etc”.
Contractual requirement (UK GDPR Article 6(1)(b))
Where you participate in a funded training programme, we process your data to deliver that service and meet the terms of the funding agreement.
Consent (UK GDPR Article 6(1)(a))
We ask for your consent to use your information for specific purposes, such as contacting you about future opportunities or using your feedback in service evaluations. You can withdraw your consent at any time by contacting the service.
Research and statistics
Anonymised and pseudonymised data may be used for research and statistical purposes. Any data collected may be used for research and statistical purposes that are relevant and compatible with the purpose that the data was collected for.
What are your rights?
- Access – you can request copies of any of your personal information that is held by the Council.
- Rectification – you can ask us to correct any incorrect information.
- Deletion – you can ask us to delete your personal information. The Council can refuse to delete information if we have a lawful reason to keep this.
- Portability – you can ask us to transfer your personal data to different services or to you.
- Right to object or restrict processing – you have the right to object to how your data is being used and how it is going to be used in the future.
- Right to prevent automatic decisions – you have the right to challenge a decision that affects you that has been made automatically without human intervention, for example an online form with an instant decision.
How long will we keep your information for?
Your personal data will be retained on our systems and only be used as detailed above. We will not keep your personal data for longer than the purpose for which it is used.
We keep and dispose of all records in line with our record retention schedule.
What security precautions are in place to protect the loss, misuse or alteration of your information?
We will take appropriate steps to protect your personal information from unauthorised access, loss, misuse, alteration or corruption. We have put in place physical, electronic, and managerial procedures to safeguard the information you provide to us.

We want to ensure any information we hold is accurate. You can help us by promptly informing us of any changes to the information we hold about you.
